Lost and Found Procedure
The Hotel staff must Understand about Hotel Lost and Found
Procedure to provide controllable record and storing of lost and found items.
Hotel Lost and Found Procedure:
Any item found in the hotel must be reported and handed in to Housekeeping Office immediately for proper recording and storing purposes. Only Housekeeping Department is authorized to keep Hotel Lost and Found articles. However, certain items found after events in Function Rooms i.e. banners or furniture may be kept in Banquet Store due to their large size under the condition that Housekeeping is informedso that these items can be included in Daily Lost & found Report.
Executive Housekeeper or his/her assistant are responsible to notify the guest who left their items through their corporate e-mail addresses (whenever possible) with copy to Director of Sales.
Length of keeping time for Lost & Found items are as follows: 24 hours for perishable items such as food, fresh drinks, flowers etc. 3 months for non-valuable items such as soft drinks, less expensive clothes, toiletries etc.1 year for valuable items such asdocuments, cash money, jewelry, credit card, ATM card, ID card,check book, passport, cellular phone, camera, unopened wine or champagne etc.
Dirty clothes are laundered before kept in Housekeeping Lost and FoundStore. Underwear should be wrapped in non-transparent bag or envelope.
Record on a two-copy Lost & Found Finder Slip the following: finding date, finding location, guest's name (if any), article description, and finder's name & signature.
Lost & Found data are recorded in Lost & Found Logbook and in the computerized guest profiles.
Lost & Found reports are sent by email to Duty Manager with copy to Assistant Manager and Telephone Operator on daily basis
Shall the guests within the local area wish to have their left items back they have to make the collection by themselves. However, they can have their items sent to their local addresses at their own expenses.
For return of Lost & Found item outside the local area, the mailing expenses occur will be borne to the owner's account according to the hotel procedure.
Any Lost & Found articles not claimed after the designated keeping time will be released to the finders.
Housekeeping Lost and Found Claim Procedures
Any inquiries on Hotel Lost and Found items are handled professionally.
Any claim received on Lost & Found items will be cross-checked with Lost & Found Logbook.
Claimant must be notified immediately whether the item is found or not.
Shall the item is found, a two-copy Lost & Found Claim Slip is filled out based on the article description. First copy is given to the claimant and the second copy is for Housekeeping file.
Record in Lost & Found Logbook: claimant's name & signature, date & time of claim, issuer's name & signature, and date & time of release.
Attach claimant's copy of ID
